Staff

Aims:

  • reliable record information of the numbers of students of all levels of education;

  • ensuring the safety of students’ personal files;

  • ordering for strict reporting forms for graduates in time;

  • issuance and handover diplomas, certificates of university graduates in time;

  • ensuring of State services on citizens request through the Public Service Center or the web portal "E-government" in the specified time (duplicate diplomas, duplicate certificates of completion of internship and residentiary degree);

  • management and monitoring of data in the e-databases of students AIS «Platon» and «Unified Higher Education Platform».

Establishment history:

In 2006 the center of monitoring and accounting of Students was founded with the aim of regulation and storing personal files of students of all specialties. The center is a structural division of the University, acting on the basis of the Charter of the University and in its practical work, guided by the orders and instructions of the Chairman of the board - Rector of the University.

In 2006 it was named "Student Department". During the period 2010 to 2012 the Department was included internship, as a result the center was named "The Department of students’ registration and internship". In 2013 the internship was excluded. Since 2019, due to the change in the structure of the University, the department has been called the Center for Career Guidance, Psychological Adaptation and Student`s Accounting. Nowadays it is the Center of Monitoring and Accounting of Students.

Since 2006, the center is supervised by Muhabbat Aliyeva, G.Tarassova, L.Shubayeva,  A. Abdrayeva  worked in the initial division.

Activity:

-     acceptance of personal files of students enrolled in the 1st course;

-     updating the e-database of students with personal files (reconciliation of data and scanned documents with the original personal file);

-     storage of personal files of students (availability of Personal files according to the contingent);

-     ordering and registering of strict reporting form (forms of diplomas, certificates)

-     registration of diplomas and certificates of completion of internship and residentiary degree for graduates, registration of certificate numbers in the accounting book of graduates with a signature of issuance;

-     monitoring of students' data on personal files and in the e-database (restoration, expulsion, graduation, transfer from course to course, transfer from other universities, etc.);

-     students' data management and correction in an electronic database;

-     students quantity report (monthly, on the 5th day of the month);

-     state grants report (monthly, on the 5th day of the month);

-     annual report formation to the Statistics Department in the form of Organization of higher and postgraduate education ;

-     State services (duplicate diplomas, certificates) are provided upon request;

-     reports on graduates of different years upon request;

-     preparation of orders for re-issuance of documents related to the change of surname, name of the student;

-     inquiry confirmation certificates upon request;

-     preparation of information for various internal and external requests related to the contingent of students.
